- PI identifies proposal opportunity, reviews solicitation requirements, identifies basic proposal components (co-PIs, external collaborators, project value, cost-share requirements, draft project title, start and end date)
- PI completes and submits online EMS Proposal Submission Form, which notifies Department and Institute research administrative assistants of intent to submit a proposal
- PI contacts all external partners, obtains administrative contact info
- Research Office verifies any non-standard proposal requirements (cost share, F&A rates, compliance reviews, international partners, etc.) and initiates required review/approval processes

(Greater than or equal to 10 workdays)
|
- PI and department/institute research administrative assistants complete budget and justification
- Research Office requests/obtains required sub-award documents
- PI and department/Institute request/obtain cost share commitments, if applicable
- PI and department/institute research administrative assistants assemble and review standard template documents (biosketch, C&P, COI)
- PI completes all other required technical documents (Facilities & Resources, Letters of Support, etc.)
- PI has near-final versions of Project Narrative and Summary

5-Day EMS Research Office Deadline

5 Workdays
|
- PI submits final version of all required documents to EMS Research Office
- Research Office reviews all proposal documents and provides feedback/requests for corrections to PI and department/institute research administrative assistants
- Research Office completes sponsor-required forms as needed (budget spreadsheets, reps & certs, etc.)
- Research Office initiates supervisory quality/compliance review of proposal

2 Workdays
|
- Research Office completes all reviews and compiles final proposal package for submission to sponsor
- Research Office initiates IAF approval routing
- PI reviews and confirms final proposal is correct and ready for submission
- Research Office AOR submits proposal by stated sponsor deadline, but no later than 5:00 p.m. EST
